Team Manager Playbook
Season Kick-off
BDHA Board of Directors will host a mandatory parent meeting at the start of each season to review association-wide policies, expectations and updates.
Additionally, a team meeting with the coaches, parents, and players should be scheduled within the first two weeks of the season.
Communication Responsibilities
As a team manager for Beaver Dam Hockey Association, your most important job is effective and consistent communication. You serve as the main point of contact between:
- Coaches and Parents
- BDHA and Coaches/Parents
- Outside Organizations and Coaches/Parents
Establish Communication Channels Early
At the start of the season, work with your coaches to decide how your team will communicate. This could include email, text groups, CrossBar, or other tools.
We highly recommend sending a weekly email through CrossBar to help everyone stay on the same page. These weekly updates should include:
- Celebrations from the past week
- Reminders and expectations for the upcoming week
- Important updates from BDHA or the coaching staff
What to Include in Weekly Updates
- Coach’s Corner – notes from the coach
- Practice Schedule – dates, times, locations
- Game Day Details – who is working clock, scorebook, penalty box, locker room, concessions, etc.
- Team Reminders – tournaments, volunteer duties, fundraisers, events

Game Day
Game Day has arrived! Here is what you need to do to ensure a successful game day for both home & away games.
confirm volunteers
A week prior to each game, confirm that each game day assignment has a confirmed volunteer. It may be a good practice to include game day assignments opportunities & confirmations for upcoming weekend games within your weekly team email.
The Thursday prior to your weekend games, do one final confirmation that you have all your required game day volunteers. If you are short, send a firm email seeking volunteers. It is OK to set a deadline by which you may start to assign parents to open assignments.
home games
Official Scorekeeping (GameSheet)
As the home team, we will be scoring the game using the GameSheet App on your assigned iPad device.
Prior to the Game
- Add Game required information to GameSheet App (requires WiFi connection)
After the Game
- Confirm GameSheet App has officials & coaches’ signatures.
- Final Gamesheet results will be automatically distributed to the opposing team in one of 3 ways:
- A copy will be emailed to the manager/coach contacts on the team's roster in GameSheet
- Available in 'past games' on the GameSheet App
- Available online at the GameSheet website https://gamesheetinc.com/stats
Game Day Assignment Volunteers
For home games, each team is responsible to fulfill the following ‘official game day’ assignments.
- Penalty Box
- Scorekeeper
- Game Clock Operator
- Zamboni Driver
- Locker Room Monitor (must be SafeSport-certified)
- Rink Manager
The opposing team will need to provide a Penalty Box operator for their penalty box. Confirm all your volunteers have arrived and provide them with any necessary materials or direction. Please note, these positions are considered ‘officials of the game’ and you may need to remind volunteers to refrain from cheering while performing these important duties.
Important Note: Music and pre-game lights are optional but the kids love them!
away games
Arrival
Try to arrive early to greet your own coaches and players and assist in guiding the team to their assigned locker room.
Scoresheets
As the visiting team, we do not provide the official scoresheets.
After the Game
- The gamesheet will be accessible in one of three ways:
- A copy will be emailed to the manager/coach contacts on the team's roster in GameSheet
- Available in 'past games' on the GameSheet App
- Available online at the GameSheet website https://gamesheetinc.com/stats
Game Duties
For away games, we will need to provide a Locker Room Monitor and Penalty Box operator for their penalty box. Confirm our penalty box volunteer has arrived and provide them with any necessary materials or direction.

tournaments
Tournaments are a great opportunity for team-building activities. This is also a great time to ask for assistance from other parents! Here are some creative ideas from past tournaments:
- Hold a pizza, sandwich bar or potluck night in a hotel meeting room
- Make reservations at a local restaurant
- Create door hangers for hotel room doors
- Rent Lanes at a local bowling alley

Volunteer Coverage
Your team is responsible for covering all volunteer shifts throughout the tournament weekend. This includes:
- Scoreboard
- Penalty box
- Clock
- Rink manager
- Locker room monitor
- Concessions
🛑 Note: These hours do not count toward your required BDHA volunteer hours—they are in addition.
Tournament Fundraiser: Raffle Baskets
Each family is required to donate a raffle basket for the tournament fundraiser. This is one of our most effective ways to raise money during the event, so encourage creativity and presentation!
Make It a Great Weekend
Tournaments are long weekends for players and families, so a little planning goes a long way:
- Consider organizing a team potluck or ordering pizzas between games to keep everyone fueled and connected.
- Be intentional about hospitality. We're all here to play, have fun and support youth hockey.
- Programs: find a volunteer to put together a program with the schedule, lists of all teams, tournament rules and some local suggestions on places to eat or visit.
- Welcome baskets for visiting teams are a great touch! Include items like:
- Bottled water
- Granola bars or snacks
- Stickers, wristbands, bag tags, or BDHA swag
🗹 Pro-Tip: Another fun tradition: personalized name tags for each visiting player. These are often laminated and displayed by team in the warming area. Players can take them home as keepsakes.
Concession Stand Specials
- If you'd like to offer a special menu item during the tournament, coordinate with the concessions contact in advance.
- Examples include:
- Mac and cheese
- Pulled pork sandwiches
- Chili or walking tacos
Other Important Tips
- Awards: Make sure you coordinate with the tournament director ahead of time to ensure trophies and medals are ordered and ready for the final games.
- Referee Hospitality: Your officials are working long hours too! Create a small referee snack basket with drinks and grab-and-go items to show your appreciation. It goes a long way in building goodwill.

Communication
Planning an away tournament requires coordination and team involvement. Make sure you include the families when deciding where to play. Try to make the experience as easy as possible for them by keeping them informed and promptly sharing information.
Registration & Fees
You can find WAHA-sanctioned tournaments on the WAHA Tournaments webpage. There are several important considerations to be mindful of when scheduling a tournament:
- Distance & hotel stay requirements
- Competition/Skill level
- Past Experience
Each individual team is responsible for the registration fee of all tournaments, except Playdowns and the State Tournament. All fees for tournaments are paid by the team, not the organization. This includes hotel rooms for non-parent coaches – this is the Team’s responsibility. Registration is typically paid for in full by the manager or head coach. Each family/parent will then pay their portion to the manager or head coach.
🗹 Pro-Tip: We recommend an app like Venmo or PayPal for ease of money transferring and audit logs.
Hotels
Some tournaments may necessitate a 1–2-night stay in a hotel. As team manager, you should assist the team with locating and/or reserving blocks of hotel rooms for the tournament. However, each family is responsible for their own hotel reservations & fees.

- Start planning early!
- Call the hotel's local number
- Ask if they will provide a ‘meeting’ or ‘conference’ room for the families to gather vs. hanging out in hallways (sell it as a benefit to the hotel).
